What Listwax keeps, and for how long
A plain-language note for people testing Listwax by invitation. It describes what the app does today. It is not a legal agreement, and it will change as the app does.
What you give us
- Your account: the username you chose, a scrambled (hashed) form of your password, the invite code you used and the date you joined. We never store your password itself.
- Your email and four sign-up answers: the email you gave at sign-up, used only to reach you about this test (and, later, to help you back into your account). We do not share it. The four answers (how many records you list a month, where you sell, how long it takes you to identify and list a record on Discogs, and what share of your stock is CDs) are kept with your account so we can see what to build and measure the tool against your own pace.
- Your photos: the pictures you upload for each record, stored on the host's computer. Location data is removed from JPEG and HEIC photos when they are stored (HEIC photos are saved as JPEG). A PNG is stored as you sent it.
- Your choices: the grades you enter, the release you pick, your price and your listing description, and any note you send with "Something wrong with this match?" or "Send feedback". Those notes are saved with your records and may also be emailed to the person running this test.
What we work out from them
- Smaller copies of your photos, and what the AI read from them (catalog numbers, runout text, labels). The smaller copies are sent for reading and are kept only until a run finishes on hosts set up to delete them; today's test host may still hold them.
- A review for each record: the releases the app considered, how well each matched, and some Discogs details (titles, years, listed runouts, counts). Prices and the number of copies for sale are removed from saved records about six hours after the review was made, as Discogs requires.
- A log of what happened to each record (when it was submitted, read and posted, what it cost, errors), when you open the app, and how long you were actively working on a record (gaps of over a minute are left out) and a running count of the credits your reads have used, which counts against your allowance.
Who else sees it
- Anthropic (the AI service): your photos are sent to it to be read. Its own terms say what it does with them; we have not checked how long it keeps them.
- Discogs: release details come from Discogs. If you connect your Discogs account, drafts are made in your account; during this test they are saved as drafts only. Listwax never sees your Discogs password.
- The host (the person running this test) can read your records, photos and notes, and sees counts and costs for everyone.
How long we keep it
- Your original photos: if you leave "Keep my record photos to help improve Listwax" unticked, they are deleted 30 days after a record's listing is posted, or 30 days after you last worked on a record you never listed. The 30 days do not start at upload. If you tick it, we keep them, with the release you confirmed for that record, to test and improve the tool. You can change your answer on the Account page; unticking it deletes the photos we kept.
- The rest of a record (what you chose, the AI read, the review) stays until you delete it.
- Photos you added but never turned into a record are removed after about a day.
- Backups made by the host before you delete something may still hold a copy.
Deleting it
- On your Account page, Delete my photos and data removes every record, photo, read, review and log line of yours. Your login stays.
- We keep, on purpose, a note of the credits you have used (so deleting cannot reset your allowance) and the Discogs listing numbers of drafts that existed when you deleted, so they can be found and removed in the host's Discogs account.
- You can download your records as a CSV on the Account page (what you entered and chose, and your listing numbers; photos are not included).
- To close your account completely, ask the host. A button for this is not built yet.
What you are responsible for
- Every grade, price and listing description is yours. The app suggests a release; you check it against your copy. It does not guarantee it found the right pressing.
- Do not upload photos of people, or anything you do not have the right to share.
